Establishing a wealth management relationship involves more than opening an account. Firms must collect client information, verify identity, complete documentation, assess financial circumstances and satisfy applicable compliance requirements before services can begin. Digital onboarding is becoming an important operational priority as wealth managers seek to reduce administrative delays, improve application completion and create a more consistent experience for prospective clients.

Fenergo’s 2025 Financial Crime Industry Trends research found that 70% of surveyed financial institutions had lost clients because of slow or inefficient onboarding. Although this finding comes from a provider sponsored survey covering selected markets, it highlights the commercial consequences of poorly coordinated processes. For wealth management firms, the challenge is to make onboarding more efficient without weakening due diligence or the accuracy of client records.

From Online Applications to Connected Client Journeys

Moving forms online does not necessarily resolve the underlying causes of onboarding delays. Client information may still pass between relationship managers, compliance teams, operations staff and account opening systems, creating repeated requests, manual checks and unclear approval responsibilities. Effective digital onboarding requires firms to examine the complete journey, from initial information capture to verification, account approval and funding. Automation can help route documents, identify missing information and track outstanding tasks, while staff concentrate on exceptions and decisions that require closer scrutiny.

However, complex ownership structures, international clients and unclear source of wealth information may legitimately require additional checks. The objective is not to eliminate every delay, but to distinguish necessary investigation from avoidable administrative friction. Well designed digital onboarding can therefore connect client experience with operational control, provided that information remains accurate, responsibilities are clear and regulatory requirements continue to be met. Key priorities for improving onboarding include:

  • Information capture: Collect relevant client details consistently and reduce repeated requests for information already supplied and appropriately verified.
  • Identity and due diligence checks: Coordinate identity verification, screening, source of wealth assessment and risk based reviews according to applicable requirements.
  • Document management: Track required forms, signatures, outstanding information and approvals so that clients and responsible teams understand what remains incomplete.
  • Operational handoffs: Connect relationship managers, compliance teams and account opening operations to reduce duplication and prevent applications from becoming stalled between departments.
  • Outcome measurement: Monitor completion rates, processing time, repeated requests, manual interventions and compliance exceptions to identify where the process needs improvement.

Due Diligence Must Remain Risk Based

Improving processing speed cannot come at the expense of reliable client verification. Wealth management firms must establish appropriate identity checks, anti money laundering (AML) screening, source of wealth information and customer due diligence according to applicable requirements and the risk profile of each client. The Financial Action Task Force (FATF) recognises that reliable digital identity systems can support customer verification, provided their assurance and reliability are appropriate for the intended use.

Digital onboarding therefore requires more than automated document collection. Firms must determine whether the information is complete, verify its accuracy and identify cases that require additional investigation. Complex ownership arrangements, inconsistent records and unclear funding sources may still require specialist review. Key controls to maintain during onboarding include:

  • Identity verification: Establish that the applicant is who they claim to be using reliable verification methods.
  • Risk assessment: Apply appropriate screening and due diligence based on the client’s circumstances and the requirements of the relevant jurisdiction.
  • Information validation: Check that financial details, ownership information and supporting documents are consistent and sufficiently complete.
  • Exception management: Route discrepancies and higher risk cases for additional review rather than allowing automation to bypass necessary checks.

Workflow Integration Determines the Client Experience

The effectiveness of digital onboarding also depends on how well information moves between relationship managers, compliance teams, operations personnel and account opening systems. A client may submit documents through an online portal yet face delays if staff must re enter information, request the same evidence repeatedly or wait for approvals across disconnected platforms. The Financial Conduct Authority’s 2026 wealth management survey identified gaps in some firms’ client due diligence practices, including missing information about expected transaction frequency and investment amounts, as well as failures to verify source of wealth.

Such gaps demonstrate why workflow design must support completeness and accountability, not simply faster processing. A well coordinated process can make outstanding requirements visible and help teams resolve bottlenecks without weakening control standards. Operational improvements should focus on:

  • Workflow ownership: Assign responsibility for each stage, including unresolved requests and final approval.
  • System connectivity: Transfer verified information between authorised systems to reduce repeated entry and inconsistent records.
  • Status visibility: Give clients and relevant staff clear information about outstanding documents, pending checks and approval progress.
  • Performance monitoring: Measure processing time, application completion, rework and compliance exceptions to identify where changes are needed.

Ultimately, digital onboarding works best when firms redesign connected processes around both client convenience and operational control. Automation can reduce unnecessary friction, but reliable verification, complete records and accountable review remain essential to establishing lasting wealth management relationships.

Connecting Onboarding with Long Term Client Service

Successful digital onboarding establishes the foundation for an ongoing wealth management relationship. Firms need to balance client convenience with reliable verification, complete documentation and clear accountability for approvals. Reviewing processing times alongside application completion, rework and compliance exceptions can help identify whether process improvements deliver genuine operational value. The next challenge is ensuring that verified information remains accessible to authorised teams throughout the client relationship, connecting onboarding with unified client data.

Priorities for Wealth Management Firms

  • Maintain verification standards: Ensure that efficiency improvements do not compromise client due diligence or information accuracy.
  • Improve operational coordination: Establish clear ownership across relationship management, compliance and account opening teams.
  • Measure meaningful outcomes: Evaluate completion rates, processing delays and compliance quality rather than relying on automation adoption alone.

Ultimately, better onboarding depends on connected workflows, reliable information and accountable decisions. Firms that address these fundamentals can reduce unnecessary friction while maintaining the controls required to establish sustainable client relationships.
